An influencer CRM (influencer relationship management software) is a database of the creators a brand works with, plus the history of every interaction: outreach, replies, rates, contracts, content, payments and results. It replaces the spreadsheet and inbox that most teams start with, and its real job is to answer one question quickly: which creators should we work with again?
What to track for every creator
| Field | Why |
|---|---|
| Handle, platforms, audience size | Basic identity |
| Audience country and age | Fit for your market |
| Contact and preferred channel | Email vs DM vs manager |
| Outreach status | Not contacted → contacted → replied → negotiating → signed → declined |
| Rates quoted and paid | Negotiate from facts next time |
| Deals and deliverables | What was agreed and delivered |
| Content links and usage rights | What you can reuse, until when |
| Results per deal | Clicks, orders, cost per order |
| Payment history | What was paid, when |
| Notes and tags | “Fast replies”, “great for unboxing”, “family-friendly” |
How to track influencer outreach and partnerships
- One record per creator, not per campaign. Campaigns link to creators.
- A fixed status pipeline (above), so you can count how many creators are at each stage.
- Log every message in the tool, or at least the date of the last contact and next step.
- Follow up once after 4–7 days with no reply, then stop.
- Record the result of every deal, so rebooking decisions use numbers.
A spreadsheet handles this up to about 20 active creators. Past that, the gaps (who replied where, which contract version, which payment) cost more than software.

Facts are from each company’s own website, checked 4 November 2026. GetCollab publishes this blog and is listed first because it’s our product; the rest are alphabetical, not ranked.

For ecommerce brands
Prioritise order attribution per creator and a store integration. See influencer platforms for Shopify and ecommerce stores.
For agencies
Look for multiple brands or workspaces under one login, client-shareable reports and seat-based access. Ask each vendor specifically; it’s rarely on public pages. GetCollab’s Custom plan includes multi-brand and multi-team support.
How GetCollab handles creator relationships
GetCollab’s AI agent, Dabli, shortlists creators from your brief and sends the first outreach; you take over when they reply. Every deal, contract, deliverable and payment sits against the creator, and each creator’s tracked link and code show the orders they drove, so rebooking is based on results. Creators you’ve worked with can be invited into an affiliate program. Growth includes 5 seats. See the platform.
FAQ
Do I need an influencer CRM if I already use HubSpot or Salesforce? A general CRM can store contacts, but it won’t track deliverables, content, usage rights, creator payments or per-creator sales without heavy customisation.
What’s the difference between influencer CRM and influencer marketing platform? Mostly packaging. Most influencer marketing platforms include a CRM; some CRM-first tools add discovery and payments.
